On the right hand side of the transaction details screen are two small boxes: Quick Credit and Quick Sale. Each box contains space for an amount (pre-filled with the amount from the transaction you are viewing) and description in addition to the Credit or Sale process button. To expand either of these boxes, click on the icon in the bottom right hand corner.
The form will be expanded to include the following fields:
Field | Description |
---|---|
Amount | amount of credit or sale |
Tax | portion of total amount alloted to tax |
Description | brief description of credit or sale |
Invoice | invoice number |
Order ID | order identification number |
PO # | purchase order (if applicable) |
Customer ID | customer identification number |
Please note: Once you click the Credit or Sale process button, the transaction will be processed immediately. There is no confirmation screen.
To print a paper copy of the transaction details, click the Print Receipt button at the top right of the transaction details. A copy of the receipt will open in a new window, and a printer dialog will open and you will be able to print a paper copy of the transaction details in a convenient receipt format.
To email a copy of the transaction details, click the Email Receipt button at the top right of the transaction details.
A new window will open, and you can choose which type of receipt to include in the email. Choices are: Customer, Merchant, Customer with Billing and Shipping Info, or Merchant with Billing and Shipping Info. Type the intended recipient's email address into the space provided and click the “Confirm” button to send the email, or “Cancel” to return to the transaction details page without sending the receipt.
Once the email has been sent, you will be returned to the transaction details page.
Clicking on the Import to Billing DB (Database) button will bring you to a form in your Customer Database. Fields that were used to process the transaction will be pre-filled. Simply fill in the remaining fields and click the save button at the bottom of the screen. To return to the transaction details page you were viewing, use the back button on your browser, or return to the Batch Manager and click the details button again.
Once the customer has been entered into your customer database, the import link will be gone, and the customer's CustNum (a unique system assigned customer identification number) will appear as a link to their data file beside their name in the transaction details.
The Capture Authorization button appears only at the top right of queued AuthOnly transactions. Click the link to capture the transaction and move it to the current batch to be settled.
If the authorization is too old or has already been settled, this link is not displayed. This button is also shown for transactions that were blocked by the AVS Result fraud module. To override the AVS result, use the Capture Authorization option.
The Queue Transaction button appears only on transactions that have not yet been settled. To prevent a transaction from being settled automatically, click the Queue Transaction button to remove it from the current batch and place it in your transaction queue.
To void a transaction from the transaction details screen, simply click the Void Transaction button. You will be asked to confirm that you want to void the transaction before the void will be completed. Once the void has been completed, this action cannot be undone.
The transaction will be removed from your batch and prevented from settling. The funds that were held on the cardholder's account will be released once the batch has closed. If you would like to release the funds immediately, you can check the box provided on the void confirmation screen.
The credit card blocker module checks the credit card number against a list of known bad card numbers and will decline the transaction if the card is found. The merchant can maintain their own list of bad cards as well as use the system provided list.
To block a particular card from being run and prevent future transactions, click the Block Card button.
Upon clicking the Block Card button, you will be asked to confirm the action:
The card will be added to a list of blocked cards, which you can modify and maintain via the editing screen in the Fraud Modules section of your console.
On the transaction details screen, the card's blacked status will be displayed immediately below the card number.
On the right of the transaction details screen, the ten most recent transactions run on the card used in the current transaction will be displayed in a list. To view all transactions related to the current card, click the “more” link at the bottom of the related activity list.
The merchant console will never display the full credit card number and expiration date for a customer's card. This is a security measure required by the credit card companies and banks. However, each card number and expiration date may be unlocked individually by clicking on the padlock icon located next to the blocked card number.
A Master merchant account is required to unlock individual credit cards. When you click on the padlock, you will be prompted to enter your master password in order to continue.
Please note: in order to view the full credit card number & expiration date, you are also required to have an SSL certificate installed on your computer. For more information on SSL certificates and how to acquire one, visit the SSL Certificate wiki page.
